Navigating Vending Venue: Your Comprehensive Guide to Terms and Conditions
Ownership of Goods:
All goods remain the property of Vending Venue Ltd (herein referred to as VV) until paid for in full.
Acceptance:
Acceptance of our Terms and Conditions of Sale occurs upon payment of a quote and/or the official recognized order.
Cancellations of Orders or Refunds:
Cancellations of paid deposits or orders are subject to approval by Vending Venue Ltd and will incur a minimum 40% administration fee of the total invoiced amount. All transportation/courier costs for returns of goods are at the customer’s expense or deductible from the customer’s credit for returned goods.
Returns:
Subject to approval by Vending Venue Ltd and provided that goods are unopened, uninstalled, and undamaged, returns can be made within 7 days. Returns are subject to an applicable admin/handling fee of 15% of the invoiced value. Transportation/courier costs for returns are the customer’s responsibility or deductible from the customer’s credit for returned goods.
Outstanding Payments:
A rate of prime plus 5% per annum is charged on all outstanding monies payable to VV. All goods remain the sole property of Vending Venue Ltd until fully paid for.
Debit Orders:
In the event of a returned debit order, Vending Venue Ltd reserves the right, without prejudice to any other rights and without notice to you:
- To claim immediate payment of all outstanding charges due to us, including a penalty fee of 10% of the debit order or a minimum fee of $5.99.
- To terminate or suspend your use of the services, which may include the deletion of your data and a requirement to pay a reconnection fee.
- To require you to pay 3 months in advance to resume services.
Delivery Period:
Machines will be delivered and installed ten to twenty working days after full payment is received and/or placement location is confirmed. Longer lead times may be expected for certain nonstandard stock items due to manufacturing and import processes.
Vending Machine Branding:
A minimum lead time of 7 working days from job card sign-off is required for all machine wraps and branding.
Payment Systems:
- Warranty on all cashless payment devices, including Credit Card, Debit Card, QR Code, etc., is as per the manufacturer (12/24 months). Vending Venue Ltd retains all communication and routing rights to said cashless devices. The purchaser must adhere to the wishes of VV and/or any other service provider appointed by VV for the usage of the cashless device.
- Not all features of cashless payment systems may be available in South Africa due to security concerns of financial institutions.
Warranty – Coffee Machines:
Each coffee machine carries a 1-year warranty on all mechanical working parts, 90 days on labor, and a 2-year vend motor warranty.
Warranty – Water Coolers:
Each water cooler carries a 1-year warranty on all mechanical working parts, 30 days on labor, and 90 days on filters.
Warranty – Technical: Machines and Services:
- All technical spares and components supplied by VV come with a warranty for a period of 90 days.
- All technical workmanship carried out comes with a warranty of 14 days from the date of work completed.
- Technical warranty excludes any damage resulting from vandalism, power surges (load shedding), negligence, incompetence, or exposure to adverse weather conditions.
Equipment Rental:
- Rentals are for a fixed term of 12, 24, or 36 months.
- All rentals are done with 0% escalation.
- Rental prices include insurance, maintenance, part replacement, and labor costs, excluding costs arising from malicious or negligent use.
- All rental applications are subject to a standard credit check and approval.
- Rental applications do not automatically qualify for the rental of a machine. VV reserves the right to decline any rental at its discretion.
- Rental application processing time is 7 to 10 working days and is subject to stock availability.
Machine Movements:
- VV does not provide insurance during the relocation/movement period of your machine and is not liable for any unforeseen damage.
- The responsibility lies with the owner of the machine/s to ensure that all products (stock, coin validators, etc.) are removed prior to the move and to inform the site of the impending movement. Machine insurance is the client’s responsibility.
- Machine moves are charged per machine per move. Additional charges may apply for idle time, removing of doors, no access to locations, keys, etc.
Location Services:
- VV cannot guarantee the sales from any particular location. While we strive to provide the best possible locations for your business, we cannot guarantee the success of the location or the income generated.
- Owners of machines must be actively involved and present for the first 6 months of operation. The owner must also be present during all technical call-outs during the first 90 days of operation.
Vending Machine Ownership – Your Role and Responsibilities:

- If a manager or staff member is hired, it is still the ultimate responsibility of the owner to replenish and familiarize themselves with the technical functioning of the machine.
Unclaimed Goods/Storage:
Machines or goods not collected from our premises within 30 days of notification will incur a relevant monthly storage fee. Failing to collect such machines or goods within 60 days from notification will result in the goods being sold to defray expenses.
